Important Before you try any one of the methods that are discussed in this article, we recommend that you create a backup copy of your Visio drawing. The local stencil stores master shapes, including shapes that you deleted from the drawing page.
An unused master shape can use unnecessary disk space. You can reduce the size of your drawing by removing these master shapes from the local stencil. To do this, use one of the following methods. Download cleanit2. Microsoft used the most current virus-detection software that was available on the date that the file was posted.
The file is stored on secure servers that prevent any unauthorized changes to the file. Delete the master shapes that the local stencil is not using.
Visio warns you if any master shapes are being used by your diagram. If you receive this warning, click Cancel. If you have to reduce the file size of a multiple-page drawing to transfer it electronically, or if you have to save the drawing to a floppy disk, consider saving each page of your Visio drawing as a separate drawing. Use the Save As command to split the multiple-page drawing into several files.
To do this, follow these steps:. Repeat step 2 for each page of your drawing. For each new Visio drawing file, delete the other pages that do not correspond with the file name. Right-click the Page tab for the page that you want to delete, and then click Delete Page. On the File menu, click Save , and then repeat these steps for each drawing. You can reduce the file size of your drawing if you configure Visio to save the drawing without a preview picture.
In the Properties dialog box, click the Summary tab. Click to clear the Save preview picture check box, and then click OK. If your Visio diagram includes many grouped shapes, your diagram can become very large and complex.
Reducing the number of levels of grouping can help reduce the size and the complexity of your files. To reduce the levels of grouping, follow these steps:. Use commands that are displayed on the Operations submenu, such as Combine command. On the Edit menu, click Paste Special. The Paste Special dialog box appears. If you created shapes in your Visio drawing, consider converting duplicate shapes to masters. When you create a master shape, Visio stores it in the drawing's local stencil.
When you drag a shape to a stencil, a master shape icon that is based on the shape appears in the stencil window. For example, instead of your drawing containing 20 copies of a shape, your drawing can contain a single copy of the shape. By default, when you're using Visio for the web, Auto Size is turned on and the drawing canvas expands automatically to accommodate whatever you put on the page.
However you can turn off this automatic canvas resizing by using the Auto Size toggle on the Design tab of the Ribbon. Doing so allows you to use the fishbowl area around the canvas as a local workspace. If you want to specify a particular page size, use the Size options on the Design tab of the Ribbon to make your selection, as described below. Alternately, select Custom Page Size at the bottom if you want a size that's not offered on the menu. Specify the custom Width and Height you want, then select OK.
Currently, you can specify dimensions in centimeters or inches. Some common page dimensions are listed below. The drawing page size changes according to the boundaries of the outermost content, plus the margins. If you want to switch from vertical to horizontal orientation, or vice versa, use the options on the Design tab of the ribbon:.
On the Home tab, in the Tools group, click the Pointer tool. The pointer changes to a double-headed arrow. Click the Page Size tab, and under Page size , select the Same as printer paper size option. Click the Page Size tab, and under Page size , click the drawing page size you want. Click the Pointer tool. Note: If you drag the corner of a page, the page rotates and does not change size. Click the Page Size tab, and then click Size to fit drawing contents. The drawing page size changes to fit the drawing without any surrounding white space.
On the screen, it may appear as though you zoomed in on the drawing. On the Print Setup tab, under Paper size , click the paper size you want. Change the drawing page size Click the page tab of the foreground or background page you want to resize. Drag the shape handle on the right side of the Horizontal dimension shape to the right edge of the pathway shape, until the red box appears indicating that the shapes are glued together.
Drag the yellow diamond that is on the right side of the dimension shape to a position above the pathway so that the dimension lines do not obscure the pathway shape. View the area or perimeter measurement of a shape. The Shape Area and Perimeter dialog box opens and displays the measurements of the shape. To see the measurements in different units, select the units that you want in either the Total area box or the Total perimeter box.
If you want to display the overall measurements of only a few shapes, you can quickly add measurement fields to the shapes' text boxes. If you have Office Visio Professional and you want to display the measurements of many shapes, you can save time by using data graphics, as described in the section Display the width, height, and angle of a shape next to a shape. Note: The measurements in fields update automatically when you resize a shape.
Note: The data graphics features are available only in Office Visio Professional For information about how to make full use of data graphics, see Enhance your data with data graphics. The new data graphic appears in the Data Graphics task pane, under Apply a data graphic. Select the shapes in your drawing that you want to display measurements for, and then, in the Data Graphics task pane, click the data graphic that you created. Note: The dimension shapes are available only in Office Visio Professional You can get a good idea of what the different dimension shapes can measure by looking at the stencils.
The figure below shows the shapes on the Dimensioning - Engineering stencil. To give you an idea of how dimension shapes work, the following procedure demonstrates how to use one of the dimension shapes to measure a piano in a home plan.
Click the title bar of the Furniture stencil, and drag the Grand Piano shape onto the drawing page. Click the title bar of the Dimensioning - Architectural stencil, and drag the Horizontal dimension shape to the drawing page above the piano shape.
Drag the green shape handle on the right side of the Horizontal dimension shape to the right edge of the piano shape, until the red box appears indicating that the shapes are glued together. Drag the green shape handle on the left side of the Horizontal shape to the left edge of the piano shape. Drag the yellow diamond that is on the right side of the dimension shape to a position above the piano so that the dimension lines do not obscure the piano shape.
